What you agree to when you exhibit

The conditions every exhibiting company accepts when it confirms a stand: what you may build, when you may build it, what you may say on the floor, and who is responsible for what.

Your space and your booking

  1. 01

    Exhibitors must strictly adhere to the booth space, dimensions, and specifications stated in the technical file. No items or structures may extend beyond the allocated booth area.

    The booking is considered confirmed upon receipt of the required payment. All booking payments are non-refundable if the exhibitor cancels or withdraws for any reason.

  3. 03

    Exhibitors may not transfer, share, or sublease their booth to another company or entity without prior approval from the Organizing Committee.

Build-up and technical rules

    Booth setup and installation will take place on 25 October 2026, from 12:00 PM to 6:00 PM. All exhibitors must complete their setup within the specified time.

  2. 05

    Exhibitors must comply with all approved technical and electrical requirements of the exhibition venue. Unauthorized electrical connections, installations, or technical modifications are not permitted.

  3. 06

    Any changes to the booth design, structure, or approved setup require prior approval from the Organizing Committee.

Safety and the aisles

  1. 07

    Equipment, signage, screens, promotional materials, or other items must not be placed outside the allocated booth area. Aisles and emergency exits must remain clear at all times.

  2. 08

    Exhibitors must comply with all health, safety, security, and emergency requirements issued by the Organizing Committee and hotel management.

  3. 09

    Flammable, hazardous, or unsafe materials and equipment that may pose a risk to participants, visitors, or the venue are strictly prohibited.

Attendance, badges and access

  1. 10

    Exhibitors must attend and participate throughout the official exhibition days and operating hours. Each booth must remain fully operational and have at least one company representative present during visitor hours.

    Exhibitors must adhere to the number of company representatives included in their participation package. Any additional representatives are subject to availability and approval by the Organizing Committee.

  3. 12

    All exhibitor representatives must display their official exhibitor badges when entering the venue. Badges may not be shared or used by another person.

  4. 13

    Access to the conference, including meals and services provided to exhibitors, is limited to registered and approved company representatives included in the participation package.

  5. 14

    Priority access to the conference will be given to pre-registered attendees. Other visitors may be admitted subject to seating availability, venue capacity, and the Organizing Committee’s approval.

  6. 15

    Any guests invited by exhibiting companies must register in advance through the official event website. Entry to the exhibition or conference will not be permitted without completing the required registration.

Inside your stand

    Screens and visual displays may be used within the booth, provided that sound levels and displayed content do not disturb neighboring exhibitors or interfere with the exhibition or conference activities.

    Distribution of brochures, gifts, samples, and other promotional materials must be limited to the exhibitor’s allocated booth area. Distribution in aisles or public areas requires prior approval from the Organizing Committee.

    Food and beverages may not be served or distributed from exhibition booths without prior approval from the Organizing Committee and hotel management.

Media, influencers and promotion

    All media representatives, photographers, videographers, and media crews must carry valid media permits. Such permits must be arranged in advance in coordination with the Organizing Committee.

    Exhibiting companies may not invite or engage any influencer, content creator, media personality, or media organization for promotional activities or media coverage within the exhibition or conference without prior coordination and approval from the Organizing Committee.

  3. 21

    All professional photography, filming, interviews, live streaming, and media or promotional coverage within the exhibition and conference areas are subject to prior approval and coordination with the Organizing Committee.

  4. 22

    Promotional campaigns or special marketing activities that may affect the operation of the event, visitor movement, or other exhibitors are not permitted without prior approval from the Organizing Committee.

  5. 23

    Exhibitors’ promotional and media activities must not conflict with the event identity or the rights and benefits of official sponsors and partners. The Organizing Committee reserves the right to stop or remove any activity or content that does not comply with these requirements.

  6. 24

    The name and logo of Oman Events Exhibition & Conference 2026, as well as the logos of the organizer, sponsors, or partners, may not be used in advertisements or promotional materials without the required prior approval.

  7. 25

    The Organizing Committee reserves the right to manage and control the access and presence of media representatives, influencers, content creators, photographers, and filming crews within the exhibition and conference.

Conduct and the venue

  1. 26

    Exhibitors must keep their booths clean, organized, and presentable throughout the event and dispose of waste in accordance with the instructions of the Organizing Committee and hotel management.

  2. 27

    Company representatives are expected to maintain professional conduct and respect visitors, other exhibitors, event staff, and hotel staff. The Organizing Committee reserves the right to take appropriate action in the event of inappropriate conduct or violation of event rules.

    Exhibitors and their staff may not access the exhibition area outside the designated operating hours without prior permission from the Organizing Committee.

Closing and dismantling

  1. 29

    Booths must not be closed, dismantled, or cleared before the official closing time of the exhibition without prior approval from the Organizing Committee.

  2. 30

    Booth dismantling and removal will take place on 28 October 2026. The exact time will be confirmed and communicated to exhibitors at a later stage.

  3. 31

    Exhibitors are responsible for removing all belongings, equipment, and materials from their booth and returning the allocated space in the same condition in which it was received.

Responsibility and liability

  1. 32

    Exhibitors are responsible for any damage caused by their employees, contractors, equipment, or activities to the booth, exhibition venue, or hotel facilities.

    Exhibitors are responsible for the security of their own equipment, products, materials, and personal belongings. The Organizing Committee shall not be responsible for any loss or damage, except where such loss or damage is proven to have resulted directly from the Organizing Committee’s negligence.

    The Organizing Committee is not responsible for providing or reserving vehicle parking for exhibitors, their representatives, or guests. Exhibitors and visitors may use the hotel’s available parking facilities, subject to the hotel’s regulations and availability.

    Exhibitors are responsible for ensuring that they have the necessary rights and permissions to use all logos, trademarks, images, videos, and other content displayed or distributed as part of their participation.

    Exhibitors acknowledge that general photography and video recording will take place during the event and that their booth and representatives may appear in official media, marketing, and promotional materials related to the event, subject to applicable regulations.

The Organizing Committee’s authority

    The Organizing Committee reserves the right to make necessary changes to the conference program, session schedule, speakers, or event timings where required for operational or organizational reasons.

    Exhibitors must comply with all applicable laws and regulations of the Sultanate of Oman, as well as the rules and instructions issued by the Organizing Committee and hotel management.

  3. 39

    The Organizing Committee reserves the right to refuse, stop, or remove any activity, material, equipment, or display that violates these terms, safety requirements, event regulations, or the overall professional appearance of the exhibition.

  4. 40

    The Organizing Committee reserves the right to manage access, exhibition areas, booths, and event facilities and to take any necessary measures to ensure the smooth operation of Oman Events Exhibition & Conference 2026 and the safety of all exhibitors, participants, and visitors.

Acceptance of terms

Confirmation of the booth booking and payment of the participation fees shall be considered the exhibitor’s acknowledgment that they have read, understood, accepted, and agreed to comply with these Terms & Conditions, including any technical, operational, safety, and organizational instructions issued by the Organizing Committee in relation to the exhibition and conference.
